Everything the creator account and the invoice tool do — what to fill in, how GST and TDS are worked out, how chasing works, and who can see what. Both are free, and they stay free.

Your account
What does an account cost?
Nothing, ever. One sign-in covers three things: the profile we cast you from, the record of every campaign you have shot for us, and the invoice tool.
Do I need an account to raise an invoice?
No. The invoice tool works fully signed out — but everything then lives in that one browser on that one device. Clear your browsing data, switch to your laptop, or lose the phone, and it is gone unless you downloaded a backup file first.
Signing in fixes that: invoices save automatically and follow you to any device you sign in from.
I have never worked with GV Mediatech. Can I still use the tools?
Yes, and nothing about the invoice tool changes. The only difference is that Campaigns you have been on stays empty — that section only ever shows work we have actually cast you for.
If you want to be cast, put your name down on the roster. An account on its own is not an application.
How do I get on the roster?
Fill the form at join the roster. Four things are required: name, WhatsApp number, Instagram handle, and date of birth. Brands cast by age band and drinks brands are 21+ by law, which is the only reason the date of birth is there.
Everything else helps but is optional: city, follower count, email, the categories you cover, languages, your rates per reel, story and static post, brands you have worked with, and a website.
Being on the list is not a contract. You get offered work — every campaign is a separate yes or no, and you can ask to come off the list at any time.
Something on my profile changed — new city, new rate, new number
Change it yourself under Your details and hit save. That is what we cast from, so a stale rate or an old city costs you briefs.
The one exception is your WhatsApp number: message us to change that. It is the field that links your account to your record with us, so a person changes it rather than a form.
I will take barter sometimes. How do I say so?
There is a checkbox on your profile — “I will take barter — a comped meal instead of a fee.” Tick it and you get shown for barter-only launches too. Leave it off and you will only be offered paid work.
Raising an invoice
What do I fill in before my first invoice?
Three things, once, in Setup:
- You — the “from” block on every invoice: name, creator or channel name, email, phone, address, your state, PAN, and GSTIN if you have one. A logo and a signature image are optional.
- How you get paid — account holder name, bank, account number, IFSC and UPI. This prints on every invoice so nobody has to ask for it on WhatsApp. You can save up to five accounts and switch per invoice.
- Numbering & defaults — an invoice prefix, the next number, your default payment terms and default TDS section.
After that an invoice is: pick the brand, add what you delivered, check the tax block, save.
What can I put on a line?
Twelve presets cover most of what creators bill for, each already carrying its SAC code:
- Instagram Reel (30–60s) · Story set (3 frames + link) · static / carousel post
- YouTube dedicated video · integration (60–90s) · Shorts
- Launch-day event coverage · content shoot day (raw + edited)
- Usage rights — 30 days, paid media · whitelisting / handle boosting · category exclusivity — 30 days
- Travel & production reimbursement
Anything else goes on with + Add a line, and every line takes its own quantity and rate.
Bill the usage, not just the post. Usage rights, whitelisting and exclusivity are separate lines because they are separate things you are selling. A reel the brand can run as an ad for a month is not the same product as a reel that sits on your grid.
Can I bill in dollars?
Yes — INR, USD, EUR, GBP and AED. Set it in Setup and the symbol carries through the invoice, the PDF and the shared link.
I invoice through more than one name. Can the tool handle that?
Yes. Under Who you invoice as you can add as many entities as you bill through — an HUF, a GST-registered firm, a consultancy. The entity you pick on an invoice supplies the legal name, address, PAN and GSTIN on it, and therefore decides whether GST is charged at all.
Each entity can also name the bank account its invoices ask for, and can be marked never deduct TDS if that is right for it.
Leave the section empty and every invoice just uses your You details.
How does invoice numbering work?
You set a prefix and a starting number in Setup — INV and 1 by default — and it counts up on its own. You can type over the number on any single invoice without breaking the sequence for the next one.
How do I send it to the brand?
Six ways off the same invoice: Download PDF, Print, WhatsApp, Email, Share PDF, and Interactive invoice — a link the brand can open in the browser instead of a file.
There are eight designs. Each card in Setup is drawn as your own invoice in that design, so you are choosing from your real numbers, not a sample. Pick one and the live preview, the PDF and the shared link all change together.
Same brand, same deliverables, next month
Use Bill someone again. One tap copies your last invoice to that brand — the brand and POC, the lines, the rates, the GST and TDS settings. Change the amount if it moved and save.
Where do I see what is still unpaid?
The Invoices tab filters by All, Draft, Awaiting payment, Overdue and Paid, with a search across brand, POC and invoice number. Export CSV hands the lot to your CA at the end of the year.
The Dashboard adds three reads on top: the Action centre (what is due to be chased today), Money ageing (how long the outstanding money has been outstanding), and By brand — who owes you what, and who actually pays on time.
GST
Do I have to charge GST?
Only if you are registered. If you are not, leave your GSTIN blank and set GST treatment to Not registered / no GST — the invoice then shows no tax and no GSTIN, which is correct and normal.
Registration becomes compulsory once your turnover from services crosses ₹20 lakh in a financial year — ₹10 lakh in the special-category states. Around that line, talk to a CA rather than to a tool.
CGST + SGST, or IGST? How does it pick?
Leave it on Automatic (from state codes) and it works it out from two fields: your state in You, and Place of supply on the brand.
- Same state → CGST + SGST, split half and half.
- Different state → IGST, the whole rate on one line.
You can override it manually, but the usual cause of a wrong split is a blank place of supply, not a wrong setting.
Which GST rate?
18% is the rate for creator and advertising services and is the default. The 12%, 5% and 0% options are there for the rare line that genuinely sits elsewhere — do not drop the rate to make an invoice look cheaper, because the difference comes out of you at filing.
The brand is overseas
Pick Export / LUT — zero rated. Export of services is zero-rated, which is not the same as exempt: you charge no GST but you must be registered and have a valid LUT on file for the year. Without the LUT you are meant to pay IGST and claim it back.
TDS
Why is the brand paying me less than the invoice?
Because of TDS. The brand is required to hold back a slice of your fee and deposit it against your PAN with the income tax department. It is not a discount and it is not lost — it shows up in your Form 26AS and AIS, and it comes off your tax bill when you file, or comes back as a refund.
Set the section on the invoice and the tool shows the deduction and the net you will actually receive. That single line ends the “why is the amount short?” conversation before it starts.
Which section applies to me?
For creator fees it is almost always 194J — professional, at 10%. The others are there because some brands book creator work differently.

If the brand’s finance team names a rate that is not in the dropdown, pick Custom rate and type theirs. Matching their number keeps the payment from getting stuck in a reconciliation queue.
Is TDS worked out before or after GST?
Before. TDS is calculated on the taxable value, not on the GST-inclusive total — which is how brands actually deduct it. The tool does this for you; it is worth knowing so you can check their remittance advice against your own invoice.
Do I always get TDS deducted?
No. Under 194J a brand only starts deducting once what it pays you crosses ₹50,000 in a financial year — that threshold went up from ₹30,000 in FY 2025–26. Below it, most brands pay the invoice in full.
Different payers count separately, so four brands at ₹40,000 each may each deduct nothing while you still owe tax on ₹1.6 lakh. Set money aside for it; the absence of TDS is not the absence of tax.
What happens if I do not give my PAN?
Section 206AA kicks in and the deduction doubles to 20%. Worse, the deposit cannot be matched to you, so it never appears in your 26AS and you cannot claim it back. Put your PAN in the You block before your first invoice.
The brand already paid me an advance
Put it in Advance already received. The invoice still shows the full value of the work — which is what the brand’s books and yours both need — and the balance due drops by the advance at the bottom.
Getting paid on time
What is the reminder ladder?
A set of steps counted from the due date, telling you when to chase. Each step comes with its own tone — a heads-up first, a final notice last — so the third message does not read like the first. You can schedule the ladder automatically on every new invoice.
Does it message the brand for me?
Only if you tell it to, per invoice. Chase this invoice automatically is off by default, and it is worth leaving off unless you know the brand well. With it on, the reminder goes straight to the POC on each step of the ladder, in your name, without you seeing it first — and a wrong due date will chase someone who has already paid.
Left off, the Action centre still writes every message for you. You read it, then hit send.
Will it email me?
Only if you turn on Email me the chase list each morning. That is one email a day, and only on days something is actually due, to the address in your You block. It tells you what to chase — it never writes to the brand.
I live in my calendar, not my inbox
Use Calendar reminders (.ics) under Your data. It exports the due dates and chase steps as a calendar file you can drop into Google Calendar, Apple Calendar or Outlook.
Who should the POC be?
The person who can actually move the payment — usually accounts payable, not the marketing manager who briefed you. Record their role and their WhatsApp number as well as email. A chase that lands in the right inbox on day one saves the three that follow it.
Campaigns with us
How does a GV Mediatech campaign pay?
The fee is agreed per campaign, in writing, before you shoot. Then we pay on invoice. Anything above ₹5,000 needs an invoice — which is a large part of why the tool exists and why it is free.
Do I have to retype the campaign details?
No. Every launch we cast you for appears under Campaigns you have been on with what was agreed on it. Tap Make an invoice and the tool opens with the details already filled in.
Where do I send my bank details?
In How we pay you on your account page, and nowhere else. It goes straight to whoever handles payments and is checked by a person before it goes near your record.
We will never ask for your bank details over WhatsApp or email. If a message claiming to be from us asks for your account number, UPI, PAN or an OTP, it is not us. Send them through your account page, or call the office number below.
We do not show them back to you once sent. To change them, just send the new ones — they replace the old.
Can I use the invoice tool for my other clients?
Yes, and you should. It is not tied to our campaigns — it does GST and TDS properly, makes a PDF, and remembers your brands and their POCs for every client you work with. It costs nothing and always will.
Your data
Signed out: where do my invoices live?
In that browser, on that device, and nowhere else. If you clear your browsing data or switch devices, they are gone — unless you have used Download backup. Keep the backup file somewhere you will find it, and take a fresh one after a busy month.
Restore backup reads it back on any device.
Signed in: who can see my invoices?
Signed in, everything saves to your account automatically and follows you to any device you sign in from. The GV Mediatech team can see what is saved, your bank details included — that is how we pay you and how we help when something is wrong. We do not share it with anyone else.
If you would rather we did not, the tool works signed out with local backups instead. You lose the cross-device sync, and the responsibility for the backup file becomes yours.
What are the Documents for?
Two optional uploads, and they are only for us. A PAN card photo is what lets a brand deduct against your PAN instead of the higher no-PAN rate. An invoice you already use tells us the format you are happy with.
Neither is ever printed on an invoice or shown to a brand. Images only — photograph or screenshot them, as a PDF cannot be stored here yet. Whatever you add is shrunk on your device before it is saved, and you can remove it whenever you like.
I want to change my password
Do this in the right order or you will lose a backup. Your invoice backup was encrypted under your old password. Change the password first and that copy becomes unreadable.
Open the invoice tool, sign in, let it save once — then go back to your account page and change the password. Eight characters or more, and you stay signed in on the device you change it from.
I want to change the email I sign in with
Change it on your account page under Your sign-in. It takes effect straight away — there is no link to wait for.
That is separate from the contact email on your profile, which is left exactly as it is. Update both if you have actually moved address.
Can I get a copy of everything you hold on me?
Yes — Download my record. It is a spreadsheet of your details and every campaign you have been on with us: what it was, what was agreed, what was paid. It opens in Excel or Numbers, and it is yours to keep.
How do I close my account?
On your account page, type DELETE and confirm. Your bank details, PAN, phone and email are deleted outright, and your login with them.
The campaigns you have already done with us stay on our books — they are the record of work we have paid you for and we are required to keep them — but nothing on them will point back to you. This cannot be undone.
Inside the invoice tool there are two smaller options: Erase this profile’s data clears the invoices, and Delete this profile removes the whole profile from that browser.

Message the office and a person will pick it up — not a form queue. Bank details, payment chasing and anything about a live campaign are all faster on WhatsApp.
